Our Payment Policy

We cannot refund any portion of anybody’s payment if they miss the tour or experience without any notice to us beforehand.

We cannot guarantee a change of date. The sooner a change of reservation is requested, the more likely it is that we can accommodate the request.

Guided Tours run with a minimum of 5 participants. We will let you know at least one day in advance if the tour or experience does not have the required numbers to run.

As for refunds for reservations being cancelled, our policy for public tours or experiences is as follows:

For Guided Tours

  • 0% with less than 24 hours prior to departure time
  • 50% for notice given between 24 and 48 hours prior to departure
  • 100% for more than a 48-hour notice

For Private/Corporate Tours

  • For a private booking we have the following cancellation refund policy:
  • 0% with less than 7 days notice
  • 50% with 7 to 14 days notice
  • 100% with more than 14 days notice

For Foodie Walks & Scavenger Hunt

  • 100% with more than 7 days notice
  • 0% with less than 7 days notice
  • The food is prebooked. Any additional costs are to be paid for before leaving the establishment.

When an invoice has been sent for a group booking, the reservation is confirmed by paying 50% of the total amount upfront. The remaining 50% must be paid no more than 5 working days after the tour or experience takes place.

In the case that the full amount has not been paid within the due date, Haarlem Food Experiences will issue a reminder to the customer to pay the full amount within 14 days. If the customer still has not paid after this term Haarlem Food Experiences reserves the right to send the invoice to a debt collection agency.  All further legal costs will then need to be paid on top of the main sum by the customer.

Tours and experiences

The experience will not take place in the case of (severely) adverse weather conditions or other cataclysmic catastrophes. In each of these cases, the company Haarlem Food Experiences maintains the right to use its own discretion when deciding the appropriateness of the excursion conducted. Participants will be notified at least 10 hours advance if the tour or experience needs to be cancelled.

In the case that the tour or experience does not take place due to unpleasant weather conditions, your full amount will be refunded or upon request, a new date may be selected on which you can participate in the tour. In scenario 2 (reschedule), no refund will be given.

In the case of the cancellation of a tour or experience of any sort by Haarlem Food Experiences, for reasons other than those provided in the preceding two paragraphs, the customer is entitled to a refund of the amount paid, or, if the client so decides, the client will be entitled to participate in one subsequent excursion scheduled in the following seven days after the cancellation. The replacement excursion will be of equivalent value and duration.

Participants must be present at the agreed excursion meeting point. Refunds will not be provided to individuals that are not present at the agreed meeting time and place. The guide will wait for a maximum of 15 minutes beyond the agreed meeting time, after which the group will depart. A no-show will incur the full cost of the booked tour or experience.

Participants declare that:

They are of good health and suffer from no minor or major injury, illness or disability that would impair their ability to perform any activity during the tours or experiences.

They fully comprehend and accept all of the risks associated with participation in the tours or experiences including, non-exclusively, exposure to unfavourable weather conditions, food sickness, injuries (e.g., those arising out of self-inflicted accidents or mishaps, other participants, automobiles, pedestrians and the like) and death.

They are not under the influence of drugs or more than the legal amount of alcohol when taking part in the tour or experience.

They release Haarlem Food Experiences and All Affiliated Entities (subsidiaries, present and former employees, owners, officers, members, managers, partners, contractors, insurers, shareholders and directors, hereafter “All Affiliated Entities”) from any claims for damages in the broadest sense made against them, as stated in article 6:106 BW to 6:108 BW of the Dutch law, unless the damages are caused by gross negligence or wilful misconduct.

They understand that Haarlem Food Experiences and All Affiliated Entities accept no liability for any damages in the broadest sense to Participants, third parties or equipment caused during their tours or experiences, as stated in article 6:106 BW to 6:108 BW of the Dutch law, unless the damages are caused by gross negligence or wilful misconduct.

They understand that Haarlem Food Experiences, All Affiliated Entities and Participants in the tour or experience are bound to Dutch law. If any law is broken all parties are liable under Dutch jurisdiction.

They understand that Haarlem Food Experiences and All Affiliated Entities do not assume responsibility for loss of baggage, money, valuables or other items during the trip. They understand that Participants are liable for damages that Haarlem Food Experiences and All Affiliated Entities may directly or indirectly incur due to the failure to comply with the above-mentioned obligations.
